1. Overview
This Privacy Policy describes how socialmemorycomplex.earth (“we,” “us”) collects, uses, and shares information when you use Orbiter (“Service”). By using the Service, you agree to the practices described here.
2. Information we collect
Account information. When you register, we collect your name, email address, password (stored in hashed form), and any introduction text you provide. Administrators may review signup and facilitator requests before approving access.
Room and membership data. We store room names, optional room images you upload, membership roles, invitations, scheduled events, and related metadata needed to operate circles you join or facilitate.
Invitation emails. When a facilitator invites someone by email, we store that email address even if the invitee never creates an account. We use it only to deliver the invitation and related room notices. Unaccepted invitations expire and those emails are deleted after a limited period.
Activity logs. We record certain account and room events (such as sign-in, room creation, invitations, and approvals) for administration, support, and security.
Live session data. Video and audio during live sessions are sent between participants via your browser or mobile app. We do not record or store live session audio or video on our servers.
Mobile app data. When you use a native app, we may process camera and microphone access only for the live session; photos only when a facilitator chooses a room image; a device push token and platform (iOS or Android) to deliver room and event notices you can turn off in the OS; time zone to show event times; and an API token (stored hashed) to authenticate the app and websocket, revoked on sign-out.
Technical data. Like most websites, we receive standard server and browser information (such as IP address, user agent, and request logs) necessary to deliver and secure the Service.
Cookies and session storage. We use session cookies to keep you signed in. The live room may use browser session storage for in-session preferences (such as dismissing a briefing).
3. How we use information
- Provide, maintain, and improve the Service.
- Authenticate users and enforce account and facilitator approval.
- Send transactional email (approvals, invitations, password resets, event notices).
- Operate rooms, memberships, and live session signaling.
- Protect against abuse, fraud, and security incidents.
- Comply with legal obligations.
We do not sell your personal information. We do not share personal information for cross-context behavioral advertising. We do not use an advertising SDK.
4. Health-related information
We do not ask for health, diagnosis, or treatment information and we do not infer health status from how you use the Service. Room and event titles are whatever the facilitator types. We use them only to operate that room. We do not use them for advertising, and we do not sell or share them. We do not use facial recognition.
5. How we share information
We may share information:
- With other participants in your room (for example, your display name and video/audio when enabled in a session).
- With facilitators and room creators for rooms you join (membership and roster information).
- With service providers that host infrastructure, send email, deliver push notifications, or process payments on our behalf, subject to appropriate safeguards. Current providers include Linode (hosting and TURN relay), Mailgun (transactional email), and Apple and Google (push delivery when you use a native app). PayPal and Patreon receive information only if you leave the Service to donate.
- When you use third-party links such as PayPal or Patreon donation pages — those sites receive information you provide to them under their own policies.
- If required by law or to protect rights, safety, and security.
6. Data retention
We retain account and room information while your account is active and as needed to operate the Service. Access can be turned off immediately (for example, when an administrator revokes sign-in). Deletion of the account record is done on request within a reasonable period, except where we must retain information for legal, security, or backup purposes. Unaccepted invitation emails are removed when invitations expire.
7. Security
We use reasonable administrative, technical, and organizational measures to protect information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
8. Your choices
- You may update certain profile information through your profile settings.
- You may leave a room or decline invitations.
- You may control camera and microphone access through your browser and device settings.
- You may delete your account from your profile (web) or through account settings in a native app when available.
- You may request access, correction, or deletion of personal information by contacting us, subject to applicable law and legitimate operational needs.
9. Children
The Service is not directed to anyone under 18, and we do not knowingly collect personal information from them. If you believe a minor has provided us personal information, please contact us so we can take appropriate steps.
10. International users
The Service is operated from the United States. If you access the Service from other regions, your information may be processed in the United States or where our service providers operate.
11. Changes
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the “Last updated” date. Material changes may also be communicated by email or notice within the Service where appropriate.
